The Role:
A successful candidate for this position will be an experienced personal assistant/ executive assistant who has 5-10+ years of experience supporting C-level executives, with sophisticated administrative support in a personal and/or executive assistant capacity. He or she is an energetic professional who doesn't mind wearing multiple hats, with experience in handling a wide range of administrative duties and personal and executive support-related tasks. Candidates should be able to work independently with little or no supervision in a pro-active and forward-thinking manner. Well organized, flexible, and with a great can-do attitude.
This role has the primary responsibility of supporting the firm’s CEO and COO who are headquartered in the office in Los Angeles. This role requires you to be in the office/ in-person 5 days a week.
Responsibilities:
- Provide all necessary administrative support for CEO and COO of a rapidly growing company, both in-office and at their home. Note that CEO and COO are in the same household, so there is only one household to support with this role. This role requires the candidate to be in the office or at the house (as needed depending on the tasks to be performed) Monday - Friday during standard business hours. It is not a remote position.
- Daily management, coordination and planning of the CEO and COO’s calendars
- Management of all CEO/COO household administrative functions including but not limited to:
- Project management of household repairs and/or maintenance contractors including selection and vetting of required vendor if a preferred vendor is not already engaged; paperwork; and managing the in-person appointments.
- Coordinating schedules and schedule changes among domestic staff including nannies.
- Providing back-up to nannies in the instances where the scheduled nanny has a last-minute cancellation and none of the regular back-ups are available. I.e., back-up to the back-ups.
- Managing cat veterinary appointments as needed
- Managing associated household needs connected to travel
- Scheduling and otherwise helping to manage personal obligations related to home & family.
- Scheduling of a variety of personal appointments, including medical, dental, etc.
- Managing payment of associated invoices and bills
- Organizing meetings, including scheduling, sending reminders, etc.
- Coordinating travel arrangements in conjunction with travel agents, including international and domestic travel including ground transportation, air, hotel, and any other travel requirements.
- Keep execs organized, informed, and prepared for anything that comes their way
- Assistance with mailing and shipping tasks
- Event planning and coordination, including personal events such as birthday parties, dinners, etc.
- Assorted errands and other miscellaneous tasks.
Required Qualifications:
- Bachelor’s Degree with at least 5+ years of Executive Assistant experience supporting C-level executives
- Experience coordinating executive travel, including both international and domestic travel
- Experience supporting a household or providing personal assistant support, including staff scheduling and management; calendaring related to school/children; household vendor management; and basic event planning support.
- Excellent driving record since occasional school pick-up would be required where PA was backing up a nanny who was out sick.
- Proficient in Microsoft Office and G-suite
